PURPOSE

To deal with the day-to-day management of an appointed commercial portfolio and to assist in the overall financial running and maintenance planning related to those properties.  This includes:

DUTIES AND RESPONSIBILITIES

Preparing and arranging valuations, in conjunction with consultant surveyors.

Property Inspections

·         Undertake property inspections in accordance with the management contract

·         Action all required works

Service Charge Budgeting

·         Prepare annual service charge budgets on a timely basis.

Service Charge Collection

Residents’ Meetings

·         Answer questions and queries from Leaseholders and Directors

Insurance

·         Ensure insurance claims are efficiently administered

Repairs

·         To oversee and manage helpline administrators to ensure that all repairs undertaken in accordance with our customer charter

·         Where necessary meet contractors on site to discuss required works

·         Report to Directors on progress of more complicated issues

·         To liaise with external surveyors on points of technical complexity and to discuss larger items of repair

·         Wherever possible to ensure that repairs are undertaken within budgetary limits

·         To follow the appropriate statutory process on the consultation of leaseholders on repairs where required

·         Overseeing quotations with the helpline administrators

·         Tendering contracts as appropriate

Health & Safety

·         To remain current in all Health and Safety legislation as it applies to the developments you manage

·         Ensure that all inspections are undertaken in accordance with H&S legislation.

·         Ensure that Health & Safety, Fire Risk Assessment and Asbestos surveys are undertaken

·         Ensure that all actions identified in the above are completed within and agreed and reasonable timescale

·         To immediately highlight in writing any areas of Health and Safety non-compliance to the Directors

General

·         Ensure that all works requiring Section 20 notification are undertaken in accordance with the Landlord and Tenant Act.

·         Answering all queries from leaseholders and solicitors for LVT cases, preparing supporting paperwork and evidence as required.

·         Dealing with complaints which have been escalated to second stage by the property coordinator

New Business

·         Identifying new business leads where appropriate for the Directors to follow-up

To assist the senior management in the day to day running and maintenance of an extensive portfolio of residential properties.

DUTIES AND RESPONSIBILITIES

To deal with the management of an allotted portfolio in accordance with all relevant Landlord
& Tenant legislation/regulations, and to assist in the overall financial and maintenance planning relating to those properties;

To assist in the effective performance and maintenance of office procedures including accurate record-keeping;

To evaluate and deal promptly with all correspondence;

To regularly inspect properties, to identify and analyse building defects and take appropriate action, including specification of simple repair works, and control economically the progress and completion of those works (liaising where necessary with in-house or external surveyors/engineers);

To raise work orders and to check contractors’ work, charges and the validity of invoices and make appropriate recommendations;

To liaise with the Area Manager, or his deputy, in respect of building works, and in reviewing annual maintenance contracts for gardening, cleaning, security etc;

To liaise with the Area Manager, or his deputy, where required, in respect of  lease renewals;

To liaise with the Area Manager, or his deputy, in preparing service charge budgets;

To compile Housing Act Notices and deal with any subsequent correspondence;

To deal with insurance claims and to liaise with the Insurance Department and other appropriate staff with regard to progress of those claims;

To represent the Company at court hearings, in meetings with Residents’ Associations (if any), outside consultants, etc., and carry out follow up action as necessary;

To raise Tenancy Variation Forms in respect of any changes or amendments to       records including on-account charges for budgets;

To deal with all matters relating to directly employed staff (porterage, cleaning staff, etc.) having first taken advice from Personnel Department;

To liaise with the Rent Manager and assist in the collection of arrears  including the instruction of solicitors;

To assist (where necessary) in the letting of vacant properties in liaison with letting agents;

To assist other staff in covering other portfolios when there is a staff shortage for whatever reason;

To carry out any other tasks as may from time to time be directed by the Area Manager and which are within the capabilities of the job holder.
